Approval workflow UI examples

An approval queue collects requests that need a decision, such as access requests, expenses or content changes, so a reviewer can work through them quickly. Our screens show pending requests with filters, a selected request with its proposed changes, and approve and reject actions, designed for web and mobile across eight visual styles, light and dark. Every example is an original design that comes with its HTML code and a DESIGN.md of colour, type and spacing tokens, in light and dark. Free to use and adapt.

Approve a change and check its history

Approval queue design tips

Show what is being requested, by whom and why in the list itself, so many requests can be triaged without opening each one.
Keep approve and reject next to the details of the selected request, and ask for a reason when rejecting.
Support bulk actions and keyboard shortcuts for reviewers who handle many requests a day.
Show how long each request has waited, so older requests do not get stuck.

Questions

What should each request in an approval queue show?

The requester, what they are asking for, the reason or context, when it was submitted and its current status. A preview of the proposed change helps reviewers decide quickly.

Should rejecting a request require a reason?

It is good practice. A short reason tells the requester what to change and gives the team a record of the decision.
